Final Paper Submission
Before Creating Your PDF File
Please be advised to comply with all the regulations listed on this page. In case of violations, your paper could be denied publication in the ICDCM 2025 conference proceedings and the IEEE Xplore database. In such a case, IEEE will still retain copyrights for your paper, and you will not be allowed to republish it elsewhere.
- Consider the comments of reviewers to improve the final paper.
- Use IEEE Manuscript Templates for Conference Proceedings. In case the paper was started in another document with a different format, the text can be copied without format into the IEEE template. Another option is to save the document in plain text format (often known as TXT) and then import it into the template.
- Please note that the new template includes an empty label at the bottom of the first page to add the copyright notice. We kindly ask you to delete the empty copyright notice (i.e., XXX-X-XXXX-XXXX-X/XX/$XX.00 ©20XX IEEE) at the bottom of the first page of your source document.
- Do not add page numbers in the final paper document.
- Do not place the authors’ affiliation at the end of the first page of the document. This is a special space only for transactions papers, but not for conference papers. Move this data below the authors’ names, under the title of the paper.
- Do not put the acknowledgment at the end of the first page of the document. This is a special space only for transactions papers, but not for conference papers. Move your acknowledgment notice near the end of the document, as a sub-section before the references.
- No biographies nor photos of authors are allowed in the final papers. Also, do not add titles, like Dr./Dr.-Ing./Prof., before the authors' names.
- The page limit is a minimum of 4 and a maximum of 6 pages, which could be extended to 8 for a fee of 75 EUR/page.
- Do NOT apply security settings to your PDF file.
- IEEE PELS enforces self-citation limit of 20% to the References section to facilitate compliance with Web of Science indexing requirements.
- Proofread your source document thoroughly to confirm that it will require no revisions.
- Authors are personally responsible for compliance with plagiarism and self-plagiarism regulations provided in IEEE Publication Services and Products Board Operations Manual. Non-compliance could result in paper exclusion from publishing in IEEE Xplore.
- Authors are personally responsible for providing a PDF file of the final paper, which is IEEE Xplore compliant.
- The conference organizing committee retains the right to verify the quality of the final paper and reject final paper submissions of insufficient quality. Authors will be informed about this before the early bird fee deadline.
- Authors MUST transfer copyright for their papers to IEEE using the guidelines below.
- ALL papers MUST be registered by the early-bird fee deadline. Every accepted paper must be linked to a FULL conference registration (i.e., not a student registration) by one of the paper's authors.
Verification of PDF file for IEEE Xplore compliance using IEEE PDF eXpress
You MUST use IEEE PDF eXpress to ensure that your PDF is IEEE Xplore compliant. Non-compliant files could be denied publication in the IEEE Xplore database.
Once your full paper PDF file is ready, log in to IEEE PDF eXpress.
First-time users must create their IEEE PDF eXpress account by clicking Create account. You must use the ICDCM 2025 Conference ID, your email address, and choose a password.
The Conference ID for ICDCM 2025 is 63994X
Enter any additional information as prompted. An online confirmation will be displayed, and an email confirmation will be sent verifying your account setup.
Existing users of PDF eXpress should log in using the above-provided Conference ID for ICDCM 2025 and their existing credentials. Also, verify that your contact information is correct.
Upload your file, convert it, and check the conversion status. A report for the file conversion will be generated once the conversion is complete. Check whether the conversion was successful or if some changes are needed.
VERY IMPORTANT STEP: Press the approve button next to your paper after successful validation. Once you approve, a download link will appear, allowing you to access the PDF file internally signed by PDF-eXpress. Download this file and use it as the full paper PDF file you submit to EasyChair by selecting the role of "proceedings author (IEEE Proceedings)".
Please ensure the quality of the figures is sufficient before submitting the final PDF file.
Submit the IEEE Electronic Copyright Form
ICDCM 2025 also uses EasyChair to transfer copyright to IEEE.
First, please ensure you entered ALL authors of the final paper and updated the final paper title in the submission system before signing the copyright agreement! You can update authors' order and add additional authors if needed, but you should not remove authors of the digest.
If you are an author of a paper with an unsigned copyright agreement, a link to sign the agreement will be available under your "Alerts" main menu tab, accessible from anywhere in EasyChair. Your alerts will contain a link, "IEEE copyright agreement for paper ..." Simply follow this link, and you will be redirected to the IEEE eCF page, where the agreement can be signed.
Alternatively, a “Sign Copyright Agreement” button will be available on your submission information page. Please note that if neither is available, one of your co-authors may already have signed the form on your behalf.
Important notes:
- A copyright submission form is required for each paper. Failing to submit an electronic copyright will result in the denial of paper publication in both the ICDCM 2025 conference proceedings and the IEEE Xplore database.
- Before signing the IEEE Copyright Form (eCF), ensure the paper title and the list of authors are correct.
PDF file generation
From your document to PDF
Too often, authors think that there is only one way to transform their documents to the Portable Document Format (PDF). As the original author of this encoding is the Adobe company, it seems logical that buying a license for Adobe Acrobat can do the trick. Nowadays, PDF is an open standard, and many alternatives exist to create a PDF file to submit. Some are free, some are open source, some accept donations, and some are paid. Choose your flavor:
Also, some text processors, like Microsoft Word, OpenOffice, and LibreOffice, can save the document in PDF format.
Embedding Typographic Fonts
IEEE asks for embedded typographic fonts on each PDF file. This is one of the most frequent mistakes.
The PDF file must include (embed) the fonts needed to be shown on screen and printed.
If the fonts are not embedded when generating the PDF, it is usually a configuration issue of the software that creates the PDF file. It is not a word processor problem (Microsoft Word, LibreOffice Writer, etc.). It is just a misconfiguration of the PDF creator (Adobe Distiller, Primo PDF, etc.). Please take a look at the user manual and the configuration menus. The solution is often a few clicks away. Just configure your program to embed all typographic fonts.
Paper Presentation Formats
The organizing committee will create a conference technical program comprising all approved final papers assigned to oral and poster sessions.
Oral Presentation
The total time allocated to each oral presentation is 15 minutes, including 10-12 minutes for the presentation and 3-5 minutes for Q&A. Please use the widescreen format (i.e., an aspect ratio of 16:9) for your slides to best utilize the projection screen. PowerPoint slides are highly recommended, while slides in PDF format are acceptable.
All presenters will be using a conference laptop, which is a Windows PC. Individual laptops will not be accommodated. Presenters should have a copy of their presentation on a flash drive that is compatible with PCs. Please be sure to upload your presentation onto the PC during the morning coffee break, before the first presentations begin. Technical support will be available to help you with this.
Poster Presentation
The total time allocated to each poster session is 2 hours to enable thoughtful discussions.
You MUST use the portrait poster format. The poster boards can accommodate posters up to 970 mm wide and 2400 mm high. Posters should not exceed this size. The recommended format is A0 (portrait).
Each side of the poster board will only have one poster hung. Posters should be hung during lunch so they are ready for viewing during the appropriate session.
